Back Office Support For Business Owners: What Can Be Outsourced?

Almost every repeatable back-office task — HR admin, recruitment, onboarding, customer replies, CRM, invoicing, document control — can be outsourced. Here's the full map.

What is back office support? Back office support is everything a business does behind the scenes to keep it running — HR admin, recruitment, customer service, CRM updates, invoicing, supplier admin, document control and the dozens of recurring tasks that don't make sales but stop the business when they're skipped. For most owner-led UK businesses, back office work eats 15–30 hours a week.

HR admin. Employee records, contracts, right-to-work, absence and holiday tracking, training matrix, probation reviews, handbook updates and exit admin. All of this is rule-based, document-heavy and perfect for a HR-focused VA. See HR365 for the full scope.

Recruitment. Job adverts, CV screening, interview scheduling, offer letters and onboarding paperwork can all be run by a recruitment support VA — you just turn up to interview and choose who to hire.

Customer service. Email replies, FAQ responses, complaint acknowledgements, refund processing and chat coverage. A trained VA team plus AI drafting handles 80% of routine customer service for a fraction of the cost of an in-house customer service hire.

Email and inbox management. Triage, labelling, drafting replies, snoozing for action and keeping inbox-zero discipline. Owner inboxes get processed twice a day so the founder never opens 200 unread emails.

CRM admin. Lead capture, deduplication, pipeline updates, follow-up sequences and weekly hygiene checks across HubSpot, Pipedrive, Zoho, Salesforce and most UK CRMs.

Invoicing and credit control. Generating invoices from won deals, polite multi-stage chasing, bank reconciliation in Xero or QuickBooks, and escalating aged debt to the founder with a clear summary. Most clients recover 30–60 days of working capital in the first quarter.

Document and supplier admin. Filing, version control, supplier onboarding, certificate chasing (insurances, RAMS, training), and keeping audit-ready folder structures so nothing important is buried in someone's email.

Systems and process documentation. As your VA learns each workflow, it gets documented — so the business has a process library instead of tribal knowledge in one person's head.

What you should NOT outsource. Strategy, hiring decisions, pricing decisions, key client relationships and anything where the founder's personal judgement is the point. Outsource the admin around those decisions, not the decisions themselves.

How to start. Pick the three highest-pain repeatable tasks (usually inbox, HR admin and quote/invoice chasing). Outsource those first with a 7-day go-live. Add the next three after 60 days when the rhythm is bedded in.
